Define the Data Model in HubSpot

Before a single contact is migrated, the HubSpot data model must be in place: custom objects, the property structure, lifecycle stages, pipeline stages, and exit criteria. What worked in Salesforce should not necessarily be transferred one-to-one. A migration is often the right time to clean up outdated data processes.

Field Mapping and Data Cleanup

Not every Salesforce field should be migrated to HubSpot. Analyzing which fields are actively used and which merely accumulated over time saves migration effort and supports a clean restart. Duplicates, outdated contacts, and inaccurate data are cleaned up before the migration.

The Migration Process

Step 1 (week 1): Finalize the data model, mapping document, and migration strategy.

Step 2 (week 2): Migrate the data using HubSpot Smart Transfer or CSV import, depending on complexity and volume. Deals, contacts, accounts, and activities are transferred with their full history.

Step 3 (week 3): Adapt automation, workflows, sequences, and routing to HubSpot logic.

Common Pitfalls

  • Activity migration: Salesforce activitiesβ€”calls, emails, and tasksβ€”must be mapped to HubSpot activities manually or through the API
  • Opportunity-to-deal mapping: Salesforce opportunities have different default fields than HubSpot deals
  • User mapping: every Salesforce user needs a corresponding HubSpot user profile with the same email address
  • Automation review: all Salesforce Flows, Process Builder automations, and Apex triggers must be rebuilt as HubSpot workflows
